BASF is turning more and more to its personnel-driven electronic medium 'Employee Self Service' With the ESS in Ludwigshafen, which is operated by BASF IT Services, staff members can up-date any changes made to their address or bank details, enter holidays, calculate travel costs, purchase employee shares and view their flexitime balance

However, even more new functions will be added soon, such as allowing staff to record when they require work release in order to attend university or if they wish to change from full to part-time employment.

As a consequence, ESS is becoming an instrument of standardisation, in which a maximum number of processes are being handled the same.

In the medium term, all of the 37,000 employees in Ludwigshafen should use the ESS.

It came into being five years ago with 12,000 users; since then this number has grown to 33,000.

Formerly staff in the Human Resources unit dealt manually with all these processes.

When the ESS was introduced into Ludwigshafen in 1999, the era of massive paperwork came to an abrupt end.

Today, all data is electronically processed and stored, although staff can receive copies upon request.

The technology is based on an SAP R/3 system, which has been specifically developed for Human Resources (HR).

Parts of the system stem directly from SAP and the rest was customised by BASF IT Services to fit the requirements of its customer BASF.

ESS is located in the Intranet and each employee's personal data can only be accessed via a user ID and password.

Value has been added for both employee and employer.

ESS drastically reduces the routine tasks of HR and creates valuable space for higher quality personnel business, based on the rule, 'professional, quick and economical'.

Right from the start, BASF employees were pleased with the interactive media; many already use the Internet privately for online banking and eBay auctioning.

ESS provides employees with more responsibility concerning their own issues and also at the push of a button, the latest stored data.

In the meantime, more than 28,000 employees access the ESS on average at least once a month.

More than half the queries concern time management.

Both employer and employee benefit from using ESS, because the advantages gained by each staff member adds up and actually creates added value for the company.

The handling time for standard processes accelerates, productivity increases and costs are reduced.

"Our experience with the ESS is absolutely positive", says Dr Wolfgang Appel, who is responsible for the ESS in BASF Ludwigshafen.

"Only when the company is able to implement the technical possibilities into streamlined processes, can modern IT truly develop.

Therefore, it is our intention to expand the web-based access to personnel processes with a direct telephonic consulting centre, which will in the main replace the classical personal staff care with personnel specialists".

The success of the ESS in Ludwigshafen has also convinced the BASF Group.

Last year, BASF IT Services installed this service for Elastogran GmbH in Lemforde.

BASF Coatings AG in Munster is next on the list.

"The ESS opens huge possibilities for a company to significantly increase its productivity", explained Dr Wolfgang Littmann, Manager of the Human Resources Services unit for BASF IT Services.
